The opportunity We are looking for a candidate for the Administration Specialist position for the workplace enablement services (WES) team of a dynamically developing, EY Global Delivery Services Poland office in Wrocław. Skills and attributes for success

  • 2+ years of experience in administrative role

  • Experience in asset management (mobile phones, IT equipment, etc.)

  • Hands-on experience with procurement processes and invoice validation

  • At least intermediate Excel skills

  • Proactive, detail-oriented mindset with the ability to see the bigger picture

  • Very good spoken and written English

  • Ability to prioritize tasks and organize work independently

Your key responsibilities

  • In this role, you will take ownership of the corporate mobile phone fleet, ensuring effective coordination of all related administrative processes, including user support, device allocation, replacements, and lifecycle management. Beyond this core area of responsibility, you will also contribute to broader team operations by supporting selected administrative processes, such as commercial agreement archiving and the maintenance of internal policies and procedures.

  • As a part of WES team, you will be:

  • Mobile phones fleet & asset management

  • Managing the corporate mobile phone fleet, including user support, device assignment and replacement, onboarding and offboarding coordination, insurance claims, fixed asset registration and tracking, reporting, and ongoing cost control.

  • End-to-end procurement for mobile devices

  • Managing the full procurement lifecycle for mobile phones, from purchase request submission and supplier coordination through goods receipt, invoice validation, and cost center allocation, in compliance with internal policies.

  • Supporting the corporate credit card fleet administrator, including user support, processing requests and queries, and cooperation with the card provider.

  • Managing the archive of commercial agreements in line with company policies and documentation standards.

  • Updating and maintaining internal policies, including the Corporate Mobile Phone Policy.

  • Assisting in onboarding and offboarding processes across the above-mentioned areas, in cooperation with IT, HR, and other involved stakeholders.

  • Contributing to process improvement initiatives and ad‑hoc projects related to workplace enablement services.
