The Opportunity Netflix is seeking an Administrative Assistant to join our Engineering Hub in Warsaw and support two Directors in the Infrastructure Engineering organization. This is a high-impact role that enables Senior Engineering Leaders and the broader team to run effectively, stay focused on what matters, and operate smoothly across time zones and locations. This role is based in our Warsaw office on a hybrid schedule, with an in-office expectation of three days per week (ideally Tuesday through Thursday). Candidate Profile A successful candidate is self-motivated, proactive, flexible, able to make timely decisions with incomplete information when appropriate with an unwavering attention to detail. You're a strong communicator who builds trust quickly, exercises sound judgment, and is able to manage shifting priorities and competing deadlines. You are interested in technology and motivated to understand what the team is building. Just as importantly, you're able to provide constructive feedback to leaders and thoughtfully challenge priorities when needed. You'll be a trusted partner, not an order-taker. Netflix is a dynamic environment so we're looking for someone who can manage multiple concurrent requests and adjust plans as priorities change. Responsibilities - Manage complex calendars for two Directors, including a high volume of internal and cross-functional meetings across multiple time zones, with a strong focus on prioritization and protecting leadership time. - Closely partner with US-based leaders and stakeholders across the wider Netflix engineering organization, coordinating across time zones with sound judgment about when to act independently and when to escalate. - Coordinate complex domestic and international travel, including processing related expense reports. - Plan and execute team events: off-sites, team-building activities, town halls, visiting leadership from other locations, training sessions, and broader Hub-wide events. Own venue/vendor sourcing, logistics, agenda coordination, AV/presentation needs, and follow-ups. - Partner closely with the Warsaw Workplace team on on-site logistics and event support; coordinate remotely with Workplace teams in other Netflix locations as needed. - Manage local vendors and external partners: sourcing, contracting, and ongoing relationships. - Handle general administrative work: raising purchase orders, reconciling expenses, circulating NDAs and contracts, maintaining Google Groups, distribution lists, Slack channels, and similar tools, and keeping team documents current. - Coordinate and help prepare agendas, presentations, and materials for team meetings; track action items and hold owners accountable for follow-through. - Build strong working relationships across the global admin community at Netflix and act as a connective point between teams. - Support and reinforce the engineering team's culture and Netflix culture more broadly through how meetings, events, and team rituals are run. - Serve as a primary coordination and communication point, both internally and externally. Qualifications - 3 or more years of experience supporting Senior Leaders in a rapidly scaling company. - Prior experience working across borders and with global, matrixed teams; comfortable operating across multiple time zones, particularly with US-based stakeholders. - Effective written and verbal communication in English for working with global stakeholders. - Event planning experience: sourcing, coordination, and end-to-end management of team events, off-sites, and larger gatherings. - Tech-savvy and genuinely interested in technology and what an engineering team does day-to-day; able to build context quickly enough to be a credible partner to engineering leaders. - Experience leveraging AI tools to increase personal and team efficiency. - Proficiency in Google Workspace; familiarity with project management tools (Asana or similar) is a plus. - Excellent organizational skills, time management, and attention to detail. - Discretion and the ability to maintain confidentiality at all times. - A proactive, solutions-oriented mindset able to handle multiple priorities and time-sensitive issues while maintaining high-quality work. - Able to provide constructive feedback to leaders and raise concerns about priorities when needed - Great in building strong working relationships across functions and locations. - A commitment to embrace and advocate for inclusion.
